This guide outlines how we work together to get your AI assistant up and running quickly—and how we keep everything transparent and efficient throughout our partnership. By using our services, you agree to the terms below. Let’s scale your business the smart way.
The Zillascale Setup Process
Step 1: Payment & Communication Setup
Once your payment is confirmed, you’ll be invited to a private Slack channel with your account manager. This will be your main communication hub for project updates, feedback, and support. Please keep all communication within this channel to ensure clarity and speed. We aim to respond within 1 business day.
Step 2: Business Onboarding Form
You’ll receive a short intake form where you’ll provide important details about your services, target audience, tone, and offers. This helps us personalize your AI assistant to match your brand and goals.
Step 3: Campaign Strategy & Workflow Mapping
Our team uses your input to build a customized automation strategy—including scripts, lead engagement flows, and CRM integration. We’ll send everything for your approval before launch.
Step 4: Setup & Launch
Once approved, we handle the full tech setup: automations, inbox routing, follow-up sequences, and integrations with your CRM, forms, and calendars. You won’t lift a finger.
Step 5: Testing & Optimization
We run internal QA to ensure your automations work flawlessly. After launch, we monitor performance and apply data-driven optimizations to maximize your booked appointments.
Terms, Policies & Expectations
Revisions & Adjustments
Your plan includes two rounds of revisions during onboarding (script tweaks, message edits, etc.). All revision requests must be submitted within 7 days of delivery. Additional revisions may incur an extra fee.
Custom Workflow Changes After Launch
Any custom updates to workflows, integrations, or strategy outside the original scope may be billed at an hourly rate. We’ll always confirm and quote you before applying changes.
AI Assistant Customization
Our team will use tested conversation flows trained on 1,000s of real interactions in the health & wellness space. While your feedback is welcome, trust our process—we know what converts.
Third-Party Platforms
Zillascale integrates with CRMs, ad platforms, and form tools (like GoHighLevel, Meta, TikTok, etc.). You are responsible for maintaining access credentials and subscriptions to these platforms.
Payment & Refund Policy
Payment Authorization
By purchasing a package, you confirm you are the authorized cardholder or have permission to complete the transaction. Unless otherwise provided by law or by a Service offer, all payments are final and non-refundable. If The Client believes that The Agency has charged The Client in error, The Client must contact The Agency within 30 days of such charge. No refunds will be given for any charges more than 30 days old. The Agency reserves the right to issue refunds or credits at The Agency's sole discretion. If The Agency issues a refund or credit, The Agency is under no obligation to issue the same or similar refund in the future.
Refund Eligibility
You may be eligible for a refund (minus a 10% admin fee) only if the project is canceled before onboarding begins. No refunds will be issued after scripting, setup, or automation work has started.
Non-Refundable Items
•Services rendered after script approval or onboarding
•Setup or deliverables already completed
•Unused services due to client delay or lack of response
•Revisions or updates beyond the included scope
Legal Terms
Limitation of Liability
Our total liability is limited to the total amount paid for services. We are not liable for external factors, including ad platform performance or lead quality.
Confidentiality
Both parties agree to maintain confidentiality on all project-related materials, conversations, and strategies for a period of 3 years after termination.
Dispute Resolution
Before filing a dispute or chargeback, you must contact [email protected] and give us 7 business days to resolve the issue in good faith.
Chargeback Policy
•Unjustified chargebacks may result in:
•Suspension of services
•Reversal of licensing rights to any delivered automations or materials
•Legal recovery of chargeback fees and related costs
Governing Law
This agreement is governed by the laws of the State of Florida. Disputes will be resolved in Palm Beach County, Florida.
